Privacy Policy

This policy explains what information Teachify collects, how we use it, and the choices you have. Teachify is a tutoring management platform operated by the Teachify team. If you have any question after reading this, write to us at support@teachify.com.ua and we will be happy to clarify.
1. Information we collect
Account information
When you create a Teachify account we store your name, email address, the encrypted hash of your password (or nothing, if you signed in only with Google), and your locale preference. We do not store your plaintext password.
Information from Google sign-in
If you choose to sign in with Google we receive your Google account id, name, email, and profile picture URL from Google. We store the Google id, the picture URL, and the email. We do not request, read, or store anything else from your Google account in the sign-in flow - no calendar data, no contacts, no Drive access, no Gmail.
Information from Google Meet integration
If you separately connect Google Meet from Settings - Integrations, we ask Google for the `meetings.space.created` scope and store the resulting access and refresh tokens encrypted at rest. We use these tokens only to create new Meet links when you click "Generate -> Google Meet" on a student page. We do not read past meetings, recordings, or any other Google data. You can revoke this connection at any time from Settings - Integrations.
Information from Zoom integration
If you connect Zoom from Settings - Integrations, we ask Zoom for the `meeting:write:meeting` and `user:read:user` scopes and store the resulting access and refresh tokens encrypted at rest, along with your Zoom user id (so Zoom can tell us if you later remove the app). We use the tokens only to create new Zoom meetings when you click "Generate -> Zoom" on a student page. We do not read past meetings, recordings, chat, contacts, webinars, or any other Zoom data. You can revoke this connection at any time from Settings - Integrations or by removing the Teachify app from your Zoom account; both paths delete the stored tokens on our side.
Information you provide about your students
As a tutor you can record information about your students: a name (or display name), contact details (Telegram username or WhatsApp number), an optional email address (used only if you invite them to their own cabinet), an hourly rate, a running balance, free-form notes, and a meeting URL. This data is visible only to you and, if invited, to the specific student it belongs to.
Technical information
Our servers log standard request metadata - IP address, user agent, timestamp, response code - for the purpose of operating the service and investigating abuse. These logs are retained for 30 days and are not used for advertising or analytics.
2. How we use this information
We use the data above strictly to provide the service: signing you in, showing you your students and balances, generating meeting links you ask us to generate, sending the few transactional emails the product needs (invitations, password resets, email verification), and supporting you when you reach out. We do not sell your data, we do not run advertising on it, and we do not share it with third parties except as listed below.
3. Sharing with third parties
Teachify uses the following service providers to operate the product. Each one only receives the data needed for its specific function.
- Hetzner Online GmbH hosts our servers and databases. Hetzner is a German hosting provider and the data is processed in its EU data centers.
- Our transactional email is delivered through Amazon SES (Simple Email Service) so that invitation, password reset, and email verification messages reach your inbox reliably.
- Google handles sign-in (via OAuth) and Google Meet meeting creation if you choose to enable those.
- Zoom handles meeting creation if you choose to enable the Zoom integration.
We may also disclose information when required by law, when necessary to enforce our Terms of Service, or to protect the rights, property, or safety of our users.
4. Data retention
We keep your account data for as long as your account is active. If you delete your account from Settings, all of your data - your students, notes, transactions, invitations, and stored OAuth tokens - is deleted. Transactional email logs and server access logs are kept for 30 days. Soft-deleted student records (when you delete a student but keep your own account) remain in the database to preserve your billing history, and are permanently removed when you delete the account.
5. Deleting your data
You can delete your account at any time from Settings - Profile. You can also disconnect Google Meet or Zoom independently from Settings - Integrations, which immediately revokes the stored tokens and stops any future API calls on our side. Meeting URLs we previously generated continue to work on the provider's side; we just stop being able to generate new ones. To request a copy of your data or to ask us to delete data we may hold beyond what the in-app delete covers, write to support@teachify.com.ua.
6. Security
Passwords are stored as one-way hashes and we never have access to your plaintext password. OAuth access and refresh tokens for Google Meet and Zoom are encrypted at rest using industry-standard symmetric encryption, with the key kept separate from the application database. All traffic between you, our servers, and our providers is encrypted in transit using TLS. Two-factor authentication is available for every account from Settings - Security.
7. Cookies
We use first-party cookies to keep you signed in, remember your locale preference (UA or EN), and remember your appearance preference (light, dark, or system). We do not use third-party tracking cookies and we do not run any analytics product that profiles individual users.
8. International data transfers
Our servers run in Hetzner data centers in the European Union. If you access Teachify from outside the EU - for example from Ukraine - your data is transferred to and stored in the EU. Our hosting and email providers offer the contractual safeguards required by EU data protection law.
9. Children's privacy
Teachify is not directed at children under 16. Tutor accounts must be held by adults. A tutor may invite a student of any age into the student cabinet, but only the adult tutor authorizes our app, holds the OAuth integrations, and is responsible for the data they enter about their students. If you believe a child has provided us information directly, write to support@teachify.com.ua and we will delete it.
10. Changes to this policy
When we update this policy, we change the "Last updated" date at the top and, for material changes, send a notice to your account email. Continued use of Teachify after a change means you accept the updated policy.
